To choose a reliable employment agency in Poland, check five things: whether it has an entry in the state KRAZ register, whether it charges the candidate a fee for job placement, whether it signs a written contract, whether it has a real address and company details, and whether it has verifiable reviews. Below is a step-by-step checklist and the signs that easily tell a legal agency from a scam.
1. Check the agency’s licence in the KRAZ register
Every legal employment agency in Poland must be listed in the state register KRAZ (Krajowy Rejestr Agencji Zatrudnienia). The check is free and takes a minute:
- Open the official register: stor.praca.gov.pl.
- Enter the company name or certificate number.
- Make sure the entry is active and the data (name, address) matches what the agency tells you.
If there is no KRAZ entry, the agency operates illegally and dealing with it is risky.
2. Signs of a reliable agency
- Has a valid entry in the KRAZ register.
- Does not charge the candidate a fee for the job placement itself.
- Signs a written contract with clear terms before work begins.
- Provides a real office address, phone, e-mail and company details (NIP, KRS).
- Explains transparently which services are paid and which are not.
- Has verifiable reviews and a presence in independent sources.
- Does not promise things that depend on the state authority (visas, cards, timelines).
3. Red flags: how to spot an illegal agency
- No KRAZ entry, or refuses to give its certificate number.
- Demands prepayment “for placement” or “for a vacancy”.
- Works only by phone/messenger, without a contract or an office.
- Promises things that only the state authority decides — for example “you’ll definitely get a visa” or “a residence card in a few days”.
- Pressures you with urgency and asks to transfer money to a private card.
4. Your rights under Polish law
Under the Act on Employment Promotion (ustawa o promocji zatrudnienia), a licensed agency may not charge the candidate a fee for the job placement itself. Working and pay conditions are set out in a written contract. State fees (for example, for a residence card or a licence exchange) are paid by the applicant directly to the authority — they are not included in the intermediary’s service price.
5. Questions to ask before signing a contract
- What is your KRAZ number?
- Which services are paid and how much do they cost?
- Who is the employer and what contract (umowa) will there be?
- What is the rate, schedule and accommodation — in writing?
- Who pays the state fees?
